Profit and Loss Equipment Costing

Equipment costs and profit / loss for each piece of equipment or for the department as a whole can be tracked and calculated. If a particular piece of equipment is showing a loss or is inoperable, you can view who used it recently, on what jobs, and compare its performance to other similar pieces of equipment.

Knowing what caused a loss, whether it is operator related or equipment, allows corrective actions to be taken. Perhaps the equipment is just expensive to own, operate or maintain. Electronic Filing Cabinet

The Equipment Center can keep all your equipment licenses, serial and model numbers, and other important information in one location. No more searching through file cabinets or looking on machines for this information.

Multiple Billing Rates

ComputerEase allows you to set up multiple billing rates for each piece of equipment. Create a default rate for regular working conditions and then other rates such as an idle rate or a difficult terrain rate can be defined.

Operator Pay Rates

Set rates for equipment operators by type of equipment. Payroll can enter an operator's hours tied to a particular piece of equipment and ComputerEase will automatically apply the pre-set operator pay rate for that equipment. This ensures that union and prevailing wage work is paid at the appropriate rate.

Scheduled Maintenance

The Equipment Center can alert you when it's time to service your equipment. Staying on top of preventative maintenance and regular maintenance helps preserve expensive investments and reduce equipment down time.

Service Cost History

ComputerEase allows tracking of both regularly scheduled maintenance and unscheduled equipment repairs. The cost of unscheduled repairs can be charged not only to the piece of equipment but to the specific job.

Detailed service cost histories make it easy to spot the "dogs" that have become overly expensive to repair and maintain. With this information, you can sell or trade in pieces of equipment that are costing you money.

Equipment Rental Management

Invoicing is made easy with the system automatically calculating billings. Rental items can be pre-priced by time periods (day, week, etc.) and quantity discounts can be included. Special pricing, lump sum, and minimal rental pricing options can also be used. All items rented, sold, or lost can be billed on one invoice, and the system will automatically calculate the cost for lost items. Orders remain open as you progress bill for certain time periods. Print a detailed statement of the rental or a summarized invoice for the customer--either way, they receive easy to understand billings that itemize every charge. Internal Rentals

I worked with a subcontractor who did uhm, they had a gravel pit where they did refinement of a lot of the soil and the different uhm, gravel that they used and one of the big things that we had with them is they leased all of their trucks so their whole fleet for their dump trucks and their gravel trucks was all leased. One of our big issues was, are we covering those lease costs? And they were responsible, also, for providing, obviously, all the fuel, uhm, all the repairs and maintenance, they covered insurance on that and one of the big things were whenever somebody, when a job needs a truckload of gravel or if I'm selling it to a third party customer or another subcontractor, I need to make sure that I'm making enough money to cover those trucks and especially with today with fuel cost as high as it is. That cost can really impact your business greatly. I mean, you could lose money just on the fleet costs being too high. So what we would do is we set up each truck as its own, like, an own piece of equipment and we got to track not only the equipment but, within there, you can do a service schedule. So we got to make, print out schedules of when we needed oil changes, when tires needed to be rotated and balanced, when any of the service work on the trucks needed to be done. We could do that to help ensure that it was running efficiently and we got to keep track of the costs. And what happens is, in ComputerEase, you go ahead and you can uhm, accrue actual costs into that job.
